To provide Secretarial and Administrative support to the Director of Corporate Social Justice
Job description

  • Diary and e-mail management - assisting in effective time management
  • Prepare/organise/attend meetings/conferences/functions and other general group activities
  • Co-ordinate and reconcile travel arrangements (local & international) for team
  • Screen telephone calls and pro-actively deal with queries
  • Build effective relationships with internal and external stakeholders
  • Record keeping of advocacy campaigns and stakeholder engagements.
  • Order stationery for the department as required
  • Process the payment of invoices on Oracle
  • Process all petty cash claims on behalf of team
  • Collate monthly training information for business unit
  • Effectively deal with sensitive and confidential information
  • Co-ordinate presentations and develop required documentation
  • Support overall Leadership team – travel arrangement, editing and formatting of reports
  • Effective writing is important and so is preparing presentations

Minimum requirements

  • Proven secretarial experience and skills at a senior personal assistant level
  • Ability to communicate effectively – excellent verbal and written skills
  • Computer literate – Ability to use MS Office (Word, PowerPoint, Excel) & the internet
  • Effective writing and ability to prepare presentations
  • Good financial acumen and budgeting skills
  • Ability to use own initiative and be proactive
  • Professional
  • Ability to work independently and decision making-ability
  • Ability to work effectively in a pressurised environment with high volumes of varied work
  • Flexibility and adaptability with the ability to multi-task.
