Introduction
Support the Corporate Social Justice Strategy by providing specific administrative support to the Enterprise IJI team. To provide confidential, professional, and comprehensive administrative support to the SMME development programme and the running of the entity. To add value in the effective delivery of associated projects and initiatives
Job description

·        Provide advanced, efficient, confidential project administrative support to the Programme or Line Manager

·        Deal with sensitive and confidential information

·        Proactively communicate with programme team and key stakeholders in a professional manner

·        Stay updated on industry trends, best practices, and new developments to maintain a high level of expertise.

·        Schedule meetings, manage meeting attendance, co-ordinate workshops, organise venues, logistics etc.

·        Ensure effective time management and construct PowerPoint presentations

·        Document management: Maintain and track projects on agreed tools and highlight risks and actions

·        Ensure and maintain a central repository of key programme deliverables per project and beneficiary (e.g. meeting attendance, project registration forms, project plans, business cases, business requirement documents, change management documents, beneficiary status reports, PIRs etc.)

·        Update beneficiary plans using agreed platforms

·        Communication: Effectively communicate technical or specialized information to relevant stakeholders in a clear and understandable manner.

·        Communications Administration: Manage and coordinate content on the relevant communications platforms e.g: intranet, external website etc.

·        Request, receive and consolidate Project/ Beneficiary Status reports

·        General office administration – accurate and timeous processing of invoices, disbursement of funding etc.

·        Take and distribute minutes to relevant stakeholders where appropriate

·        Timeously follow up on projects and actions

·        Support the monitoring of budgets and expenses

Minimum requirements

·        Grade 12 or equivalent NQF level

·        Project Administration qualification or experience required

·        Minimum 3 years’ experience

·        Budgeting and office management skills

·        Confidentiality and use of discretion

·        Ability to think ‘out-of-the-box’/ lateral thinking

·        High initiative / self-started/ proactive / anticipate requirements

·        Sound PC skills – advanced Word, PowerPoint, Excel and MS Project advantageous

·        Exceptional stakeholder management, conflict handling and problem-solving skills

·        Strong programme management skills

·        Excellent planning and organising skills

·        Analytical skills

·        Professionalism, excellent judgement

·        Efficient and accurate with high attention to detail

·        Good problem-solving skills and ability to make decisions independently

·        Ability to adapt quickly to change

·        Excellent communication skills – verbal and written
